Does anyone know if they are any rules and regulations when it comes to putting on an event with camping for tents, caravans and motorhomes. I am aware of the licensing but wondered if there was a law on how close vehicles etc can be. If anyone has come across a website with this sort of info it would be much appreciated.

I've never found anywhere with "rules" about unit spacing, only suggested or advisory distances. Most appear to recommend 5 or 6 metres between units. Certainly the Club I am invloved with insist on this distance.

You might be better liaising with the people who have licensed the site you are using.

You only have to look at how close the tents are at Glastonbury to see how close some get away with!

Also make sure that the insurance you take out for the event will also cover you for those that are camping etc on the site.

If you look in the campsite search forum, private camping company, they are based in south lakes, which organises group functions, more of you, the cheaper it is.

You give them area you want to go. They will find you somewhere, private, they negotiate with farmers and landowners.   

They set up camp, with portable toilets, Marquies, ect. And they will clear up and make sure that everything is back the way it should be.

Thank you for your suggestion Heath63, we already have the venue and I will take you advice lobeyDosser and speak to the event organisers. I have been left to sort the rally field and just wanted to know a few rules and regulations. Have trawled the internet to no avail. As you say Glastonbury would seem not to have a distance rule but common sense will be issued.

Personally I would follow the guidelines used by the CC, C&CC, CSMA and many of the owners Clubs and use a 5 or 6 metre gap between units.

I know the events we go to don't allow cars, caravans or camper vans/motorhomes and tents in the same areas.
Cars have to parked in a different field from the caravans and campervans and again these have to be in a different field from the tents. I know this is to do with the licence rules for the events.

..."appropriate separation distances between individual tents" would, I assume, ideally mean the 6 metre gap you have already mentioned, and the organiser is also asked to contact Dorset Fire and Rescue for advice.

The tent and vehicle segregation referred to by Helen is also mentioned.

Check with your local planning dept.  Their website should tell you. There's plenty out there following the Tour de France in Yorkshire, and the Commonwealth Games, though it tends to focus on caravans rather than tents. For example,

2. Do I need any licences or permissions from X Council to set up a temporary
caravan site?

If you wish to use land owned by X Council you will need permission from the Council before you do so.
If you supply food (whether bought or cooked yourself) you must register with the
environmental health department.
You will need to apply for a Temporary Events Notice or Premises Licence if you are
intending to sell alcohol or run a bar.

4. What are my legal responsibilities?
As a minimum you must:
 Have appropriate public liability insurance.
If the land is subject to flooding this will affect your ability to get appropriate cover.
 Fully comply with Health and Safety legislation, and conduct regular risk assessments. This includes Fire safety. You can find out more about general risk assessments at www.hse.gov.uk You can find templates to help you conduct a fire risk assessment at

The guide ‘HSG195 A guide to health, safety and welfare at music and
similar events’ includes a section on campsites and can be downloaded at
www.hse.gov.uk
 Check any licence agreements and thoroughly to check who is liable. Do you need
occupier’s liability insurance?
Other legislation that may be relevant includes:
 Speak to the local Fire Safety Office if you plan to store or sell butane,
propane and camping gas on site.
 Whether you are providing portable toilets or permanent facilities you must discharge to water and sewer responsibly. The Environment Agency has guidance on waste disposal.

7. What else should I consider?
 Safe access in and out of the site for cars and pedestrians
 Access for emergency vehicles
 Access to toilets, showers and drinking water
 Where will campers put their rubbish?
 Availability of fire safety precautions (water/sand etc)
 What measures can you take to prevent crime or noise nuisance?
 Are your neighbours aware of your intention?
 Once the event is over, can the land can be returned to the same condition it was before camping or caravanning took place
 If you are renting the land; thoroughly check the terms and confitions.

I think from all the links that have been provided it can be safely said that there are NO Rules about the spacing, only guidelines, and has also been said these seem to favour the 5 or 6 metre gap between units.

I would suggest that the only thing Sofia can do is to talk to the Insurance Company she is using for her Public Liability Insurance and to get them to put it in writing (which I doubt they will do)
