CANCELLED Elvaston Steam Rally Camping Weekend July 2016

The Elvaston Steam Rally is held near the lovely Elvaston Castle in Derbyshire. It offers two days of events on the weekend of July 2nd and 3rd 2016. You can camp on site from Friday to Monday.

Let us just start off by saying despite the name this is not just a steam rally, so don't let that put you off if you're not into it!

At the event will be masses of old steam traction engines and a vintage and classic car display along with motorcycles. In addition there is a model show, a variety of market stalls, entertainment for children, including an amazing fairground. It's a great fun weekend, and a chance for a cheap weekend's camping with masses to do.

Steam Traction Engines, Vintage and Classic Cars & Motorcycles, Vintage Commercials, Tractors, Stationary Barn Engines, Fair Organs, Miniature Steam Engines, Model Show, Vintage Caravans, Craft Displays and Stalls, Market Stalls, Autojumble, Working demonstrations of Log Sawing and Threshing and more.

What's Else is On?

Entertainment including amazing Old-Time Fairground, Bouncy Castles, Falconry Experience, Punch & Judy, Pauline Reader Dancers, Dizzy Wizzard, Heanor Gate Steel Band and Derby Hospitals Band. All Day & Evening catering facilities.

There is a licensed bar on the rally site (not the camping field). The fairground and some stalls are open Saturday night with full catering and the bar. There is entertainment in the beer tent both Friday and Saturday night. The whole event is designed to be family friendly and they welcome children.

Camp at the Show in your Tent, Caravan or Motorhome

Camping is from Friday 1pm on Friday 1st July to noon on Monday 4th July. So you can turn up on the Friday afternoon, or evening, get settled into your pitch, ready for all the fun on the Saturday and Sunday. You can even stay for Sunday night, and leave Monday morning, to make it a nice long weekend. If you prefer you can arrive on Saturday before 1pm.

The all inclusive advanced price of £37 covers 2 adults and their children under 16 years. For single campers, we are able to offer a special rate of £28 for the weekend.

Advance camping bookings close on Saturday 18th June, so please return the form to arrive by that date to take advantage of these special rates.

The fee includes:

  • Your pitch from Friday to Monday - you get loads of space
  • Free entry to both days of the Rally for 2 adults and your children - you can collect your wristbands on arrival
  • Access to the evening entertainment in the beer tent (not open to the public)
  • Water, waste/ elsan disposal, toilets and FREE showers on site
  • UKCampsite.co.uk visitors in their own designated area
  • Dogs welcome on leads
If there are more than 2 adults in your party the extra adults should you can buy weekend passes for them, priced £15, from your stewards when you arrive.

More Information

The show is held in the grounds of Elvaston Castle Country Park, just south-east of Derby, and comprises a castle along with over 200 acres of woodlands, parkland and formal gardens and is worth a visit just for that! As well as visiting the rally, you can enjoy wonderful walks around the grounds.

Generators are permitted but can only be run between 10am and 6pm. You need to tell the stewards you wish to use one when you arrive. You will be pitched in a seperate area if you are using a genny.

Elvaston Castle Steam Rally Limited reserve the right to refuse admission.

Some information about what happens once you arrive at the show:

Please arrive AFTER 2pm. The gates may be locked before that time and there's nowhere to park on the lane. There's a big Asda nearby in Spondon so you could park there or in the Co-op car park in Borrowash at the top of the lane leading to the rally should you have mis-timed your arrival. If you park in the main Castle car park you will be charged. Please don't enter before 2pm even if the gates are open as we have young cadets working in the field before noon. If you do go onto the camping field before noon you will be directed to the pay and display Castle car park opposite.

On arrival you will be given a registration slip to fill in so please bring a pen!

If you have a blue badge PLEASE wave it at the stewards who will give you your registration form otherwise you WILL be in the wrong place.

Again, if you have a genny, please tell the stewards on arrival or you may end up in the wrong place and not be able to use it.

Likewise if you're needing to either reserve a pitch for friends or are joining friends already there tell the gate steward and make arrangements for your friends to meet you.

Once you're clutching your registration form you will be directed to your pitch. You can then get set up, have a cuppa at your leisure then take the completed form back to the stewards who will exchange it for your envelope containing your camping passes and wristbands which you need to wear all weekend to gain entrance to the showground. Each person has one wristband which is for both days and Saturday night's entertainment on the showground. Please don't lose it or take it off during the event as it costs £15 per person to replace it!

Please check all your tickets are as ordered before leaving the booking in area

Please keep to the speed limits shown, there will be kiddies, elderly and disabled people around. Repeat offenders will be removed for the safety of everyone.

Due to the dreaded elfnsafety there are to be no mini-motorbikes, motorised mini kiddie scooters and similar things and no bouncy castles so please leave them at home.

Thanks, AdminBob, I can take no credit whatsoever for the BACS payment idea. We have a new treasurer who is taking over all aspects of the finances as she is a Bank Manager in "real life" so one job less for me to think about!

Very much doubt the castle will be open as there is still considerable doubt and debate over its future. The beautiful grounds are open though.

GREAT news, Suncampowner. We do appreciate our friends spreading the word about Elvaston as profits are donated to local charities.

Our baby Grandson, Jude, has been quite poorly with three spells in hospital so the rally is kindly donating money to the ward where he has been treated. Given some of the things the nurses have told us their little patients need I'm pleased we can help. Our plan is to present the cheques in the ring on the Saturday so that our visitors can see where their money goes.

I was VERY careful not to mention your name, Barry!

Mind you, after all these years you perhaps should have known better.

I do wish the locals who live in the vicinity of Elvaston Castle would scribble on a bit of cardboard

"NO ENTRANCE TO ELVASTON CASTLE EVENT"

and prop it up blocking off their drive with a dustbin or summat as they know some sat navs direct people down their drive several times a year when the big events are on.

Unfortunately we can't be responsible for sat navs that take our visitors the wrong way but locals somehow seem to think we do it deliberately.

Hi, I am afraid not. However as Pam said in a previous post, she is happy to accept hand written forms, as long as they are copied exactly as per the printable sheet and completed in full.

IMPORTANT MESSAGE.....

We can only accept advance bookings with payment at the time of booking.

Seems some people using BACS are saying, "We'll pay later" which is not acceptable.

Another reminder....

The special UKCS advanced booking discount is ONLY for UKCS members, not your family or friends.

Our T&C do state "one booking per username" and trying to fiddle the system is unfair to members and may result in the discount being removed.

Bookings that come in for non-members using a UKCS form will be charged at the full rate.

I don't get it! Why would you want to fiddle friends and family on your form when its FREE to join anyway, some peoples brains seem to be wired differently.

IT'S FREE TO JOIN UKCampsites, you only pay if you go on a rally and thats dead cheap anyway.

I know, Barry, I know.....happens every year and some folk get quite shirty when I ask them for the extra money BUT it's unfair to the genuine members who play by the rules to expect a discount where none is due. In effect it's cheating both UKCS and our charities. I know it's not a lot of money but it's the principle of fairness at stake.

The Elvaston committee are really appreciative and grateful of all the help, support and publicity UKCS and the members offer us hence the discounted price for members.

Entertainment including amazing Old-Time Fairground, Bouncy Castles, Falconry Experience, Punch & Judy, Pauline Reader Dancers, Dizzy Wizzard, Heanor Gate Steel Band and Derby Hospitals Band. All Day & Evening catering facilities.

There is a licensed bar on the rally site (not the camping field). The fairground and some stalls are open Saturday night with full catering and the bar. There is entertainment in the beer tent both Friday and Saturday night. The whole event is designed to be family friendly and they welcome children.

Sorry for the delay in notifying people of their bookings. We have been out of the country on holiday and not seen the P O Box man.

Hopefully someone will deliver the 40odd Elvaston applications tomorrow at some point. Am planning on updating this thread and emailing everyone over the weekend.

Please remember if you have paid by BACS you also need to send me a booking form with your BACS payment details on along with your addressed envelope for collection of passes at the rally.

I think Dave will have lost count of the number of times I've said the following phrases:-

How hard is it to write your name and address on the back of a cheque?

How hard is it to write your name and address on an enclosed envelope?

How hard is it to enclose an addressed envelope?

Only by the end I wasn't QUITE asking the questions in those terms, LOL!

Sorry to moan on and on but they are small things for everyone to do but add considerably to my time when not done.

Another day of writing up today, this time the UKCS pages. Oh well, it keeps me occupied and broadens Dave's vocabulary and in one month's time it will all be over and we have the Barton Rally to look forward to. I say we....that includes your lovely stewards Alan and Tracy who steward the Barton Rally camping as well.

Should little Grandkids decide to join you after you've submitted your booking form please let me know. There is no charge for under 16s.

Should extra adults be joining you and you've not paid for them in advance then they will need to purchase weekend wristbands from your stewards.

If you can't pre-book then the cost for each unit will be £50.

We have a cut off point widely advertised to enable me to receive the bookings from the man who collects them, the time for me to process them and then for me to get them to the treasurer ready for her to bank them on Monday. This all takes time as you can imagine.

I saw my P O Box man last night for the final batch. I won't see him again until next Tuesday by which time all the cheques will have been banked should the rally be on.

I will be seeing someone else on Friday who will deliver all the remaining cheques to the treasurer hence it's a multi-person operation and you can see why we need a cut off date.

Aww, thanks, Geoff, today I am wondering that, too!

Cheques to prepare for the treasurer today ready for tomorrow's handover then, if the rally is on, I will have a lovely weekend writing the remaining bookings up and envelope stuffing.

Seriously though I do love doing this in order to help all the local charities. Physically I can't do much at all but sorting bookings and organising paperwork I can do so it's my way of putting something back.

This year will be very special as we are donating much needed money to the children's ward at the local hospital where our baby grandson Jude was an in-patient three times due to respiratory illness. Thankfully he appears to be fine now.

Up here at the moment we have brilliant sunshine and blue sky, though one of the bosses at work was telling me earlier that he'd had to cancel his business trip to London as the bad weather down there has disrupted many train services. The weather in this country is crazy!

Similar to the above several UKCS members have tried to dodge our rule that UKCS discount is for UKCS members only, not for family and friends. Yes, I know it seems daft when membership is free but there you are.

Anyway have emailed those concerned and not had a single acknowledgement of my emails which is slightly worrying.

If there is a supplement to pay for non-members this will be noted on the envelope containing the passes. Please don't grumble at your hard-working stewards over this as it's been made very clear on this thread several times as well as being mentioned on the booking form, one booking per UKCS username.

Little reminder to everyone; site is open for arrivals from 1pm Friday to 9pm Friday and on Saturday 7am to 1pm. After that time the gates are closed to new arrivals.

Those who have already pitched and paid are free to come and go up to 9pm each evening after which you will need to see security to open the gate for you to leave or arrive from a trip out.

HOORAH!!! I have solved the mystery of Bluenosewidow's "missing" UKCS details. Thought I was going dafter until tonight when I realised the form hadn't been printed from the UKCS site but the public one.

The initial sorting for processing is into public camping and UKCS forms which, even in black and white, are very distinctive hence the form being in the wrong place at the wrong time!

Few notes for newbies coming up so please bear with me.

Although we advertise the camping field closes on Monday at noon you don't have to stay until then, just go whenever you're ready on the Sunday.

If you're in a hurry it may be best to leave well before 4.30 ish or after 7pm when, hopefully, most of the steam rally exhibits will have left the showground.

During the weekend you can come and go as you please up to 9pm each evening in a vehicle. After that time you will need to arrange arrivals/departures with security as the gates are locked.

Talking of coming and going, once you have your wristband you can come and go from the rally field as much as you like on foot.

You don't need your wristband on the Friday, only from the Saturday when the gates open to the public.

If you have changed your car/unit please don't worry.

On arrival you will be given an emergency contact registration form to fill in. You also need to fill in your details on your vehicle/unit passes.

We really, REALLY need these to be correct for our security staff, please!

Hello Pam, I have been away for the weekend and have only just seen your message. I was at work when I printed the form so wasn't logged on to ukcs. As I wanted to make the last post I just printed the form. I put 2 envelopes into one envelope (1 for me and 1 for my daughter) with names and car registrations on both envelopes and 1 BACS receipt enclosed for the total cost. Hope this is ok.

I will just add a couple of lines to what Pam has said
Booking in will be
1pm until 8pm on friday as usual in gazebo in middle of field
If you have not booked in by 8pm you can book in between 7am and 2pm on saturday at my Trailer Tent which hopefully will be first tent you come to on entry to field.
I would advise everyone that arrives before 8pm on friday to book in as will stop security guards banging on your door/tent flap asking for your passes

take it you mean that booked as non ukcs. We do not have separate section any more it just got to difficult with number of units .We now pitch ucks and non ukcs todether but sure if you speak to stewards we will be able to point out a few ukcs, some have username signs on units. Cars are normally parked next to your unit

Was LOVELY to see the Nichs tonight under our brollies.

Despite the rumours the rally is ON although obviously the fields are rather wet.

As you approach the camping fields you will see the field behind the hedge both sides of the "runway" are pretty muddy but we are not using that area for camping.

Fingers crossed the weather will improve for us.

Hi Gang,

I know many of you are really anxious about getting a refund but as per my earlier post you WILL get your money back but please bear with us. I am emailing everyone individually but it all takes time with over 200 to do.

Our treasurer will be posting everyone a cheque in due course.

Thank you all for your kind words.

Yes I stocked our motorhome up today after shopping for what feels like feeding the 5,000.

We also have a distraught four year old Grandson who was so looking forward to "helping" on Chichester, our steam roller and staying with us in the motorhome while his Mummy, Daddy and baby brother were next door in their camper van.

Think I'm going to need some help, please, planning next year's form.

This year has been fraught with problems, people not giving their UKCS username despite us saying it's essential, cheques made out incorrectly, UKCS members thinking we do a family and friends discount by booking others using their username and people not enclosing self addressed envelopes. Some people seem afraid to give me their email address hence tomorrow will be spending a LOT of time on the phone. I would never spam people and everyone's details are destroyed after the rally.

I know the envelope thing sounds REALLY trivial but dealing with over 200 camping applications altogether it all means extra time taken.

I'm not having a go at anyone as UKCS has become a vital part of the rally and we love having you.

Do you think a checklist at the bottom of the form might help as I dislike having to nag people about wrong cheques, lack of a username or tell them their friends will have to pay a supplement on arrival?

All suggestions [apart from the obvious!] gratefully received.

Thanks, Barry, great suggestion.

Unfortunately due to the nature of "big steam" we can't move the event.

Many of the engines steam on the road to Elvaston and, like us, are on a circuit travelling from rally to rally week after week on a fixed route. Our engine, for example, leaves the nearby farm after Elvaston and won't return until mid November.

If the Elvaston date changed there would be far fewer engines as they'd be in other places and not able to go out of their way for one event.

Can remember the last time it was cancelled it was rescheduled and due to other steam events I know it was not the same. Noticed that I haven't seen a few of the regular stalls since then x

Will send your donation to the Dolphin Ward at the Derbyshire Children's Hospital where our baby Grandson, Jude, had three stays earlier this year when he suffered from a respiratory illness.

Will keep you all posted on Barton Rally due to the monsoon season.

Much to the confusion of the public present we had a mini rally yesterday with Chichester, our steam roller, the living van and a few vintage tractors including a parade round the Elvaston Castle car park! We stopped there for an ice cream, didn't pay and display....and, yes, it hammered it down!

Thanks Pam, this time last year was the hottest on record, I put a short sleeve shirt on then have to change back into long sleeve with a pullover, and we are now on the slippery slope to winter again, daylight getting shorter every day.

All proceeds from the Barton Gate Rally go to the air ambulance.

It's a MUCH smaller event than Elvaston but we try to be friendly.
