Elvaston Steam Rally Camping Weekend July 2017

The Elvaston Steam Rally is held near the lovely Elvaston Castle in Derbyshire. It offers two days of events on the weekend of July 1st and 2nd 2017. You can also camp on site from Friday afternoon to Monday morning.

Let us just start off by saying despite the name this is not just a steam rally, so don't let that put you off if you're not into it!

At the event will be masses of old steam traction engines and a vintage and classic car display along with motorcycles. In addition there is a model show, a variety of market stalls, entertainment for children, including an amazing fairground. It's a great fun weekend, and a chance for a cheap weekend's camping with masses to do.

Steam Traction Engines, Vintage and Classic Cars & Motorcycles, Vintage Commercials, Tractors, Stationary Barn Engines, Fair Organs, Miniature Steam Engines, Model Show, Vintage Caravans, Craft Displays and Stalls, Market Stalls, Autojumble, Working demonstrations of Log Sawing and Threshing and more.

What's Else is On?

Entertainment including amazing Old-Time Fairground, Bouncy Castles, Falconry Experience, Punch & Judy, Dizzy Wizzard, Heanor Gate Steel Band and we are welcoming back the ever popular J C Balls Digger Dance Team who will be appearing on both days of the show. On Sunday only there will be camel racing in the main arena. All Day & Evening catering facilities.

There is a licensed bar on the rally site (not the camping field). The fairground and some stalls are open Saturday night with full catering and the bar. There is entertainment in the beer tent both Friday and Saturday night. The whole event is designed to be family friendly and they welcome children.

Camp at the Show in your Tent, Caravan or Motorhome

Camping is from Friday 1pm on Friday 30th June to noon on Monday 3rd July. So you can turn up on the Friday afternoon, or evening, get settled into your pitch, ready for all the fun on the Saturday and Sunday. You can even stay for Sunday night, and leave Monday morning, to make it a nice long weekend. If you prefer you can arrive on Saturday before 1pm.

The all inclusive advanced price of 37 covers 2 adults and their children under 16 years. For single campers, we are able to offer a special rate of 28 for the weekend.

Advance camping bookings close on Wednesday 7th June, so please return the form to arrive by that date to take advantage of these special rates.

The fee includes:

  • Your pitch from Friday to Monday - you get loads of space
  • Free entry to both days of the Rally for 2 adults and your children - you can collect your wristbands on arrival
  • Access to the evening entertainment in the beer tent (not open to the public)
  • Water, waste/ elsan disposal, toilets and FREE showers on site
  • UKCampsite.co.uk visitors in their own designated area
  • Dogs welcome on leads
If there are more than 2 adults in your party the extra adults should you can buy weekend passes for them, priced 16 and ordered and paid for on your booking form.

More Information

The show is held in the grounds of Elvaston Castle Country Park, just south-east of Derby, and comprises a castle along with over 200 acres of woodlands, parkland and formal gardens and is worth a visit just for that! As well as visiting the rally, you can enjoy wonderful walks around the grounds.

Generators are permitted but can only be run between 10am and 6pm. You need to tell the stewards you wish to use one when you arrive. You will be pitched in a seperate area if you are using a genny.

Elvaston Castle Steam Rally Limited reserve the right to refuse admission.

Sent off your Advanced Booking form already?

Some information about what happens once you arrive at the show:

Please arrive AFTER 2pm. The gates may be locked before that time and there's nowhere to park on the lane. There's a big Asda nearby in Spondon so you could park there or in the Co-op car park in Borrowash at the top of the lane leading to the rally should you have mis-timed your arrival. If you park in the main Castle car park you will be charged. Please don't enter before 1pm even if the gates are open as we have young cadets working in the field before noon. If you do go onto the camping field before noon you will be directed to the pay and display Castle car park opposite.

On arrival you will be given a registration slip to fill in so please bring a pen!

If you have a blue badge PLEASE wave it at the stewards who will give you your registration form otherwise you WILL be in the wrong place.

Again, if you have a genny, please tell the stewards on arrival or you may end up in the wrong place and not be able to use it.

Likewise if you're needing to either reserve a pitch for friends or are joining friends already there tell the gate steward and make arrangements for your friends to meet you.

Once you're clutching your registration form you will be directed to your pitch. You can then get set up, have a cuppa at your leisure then take the completed form back to the stewards who will exchange it for your envelope containing your camping passes and wristbands which you need to wear all weekend to gain entrance to the showground. Each person has one wristband which is for both days and Saturday night's entertainment on the showground. Please don't lose it or take it off during the event as it costs 16 per person to replace it!

Please check all your tickets are as ordered before leaving the booking in area

Please keep to the speed limits shown, there will be kiddies, elderly and disabled people around. Repeat offenders will be removed for the safety of everyone.

Due to the dreaded elfnsafety there are to be no mini-motorbikes, motorised mini kiddie scooters and similar things and no bouncy castles so please leave them at home.

Hi Geoff, yes, had a horrendous time since August with younger daaughter developing a serious ongoing illness. What with looking after her and having to care for the grandsons life's been hectic and hard so we are a bit behind with the Elvaston paperwork.

All being well it SHOULD be with Ratty this week but then takes time for him to format it onto the site but pelase be assured we will all do our best.

While I'm here can I make a plea that EVERYONE reads the booking form and information really carefully.

It helps me no end if everyone can write their name and address on the back of their cheque and write out a self addressed envelope for collection of their passes.

If you can all remember that the UKCS booking form and subsequent discount is only available to members with a username which should be listed on the form that saves me a lot of work, too. You can't print UKCS booking forms for your family or friends as it won't be accepted. UKCS is free to join so get family and friends to join then they will reap the benefits.

Think I've said it once but will let you all know again that the discount advance bookings close a week earlier this year, 10th June, so don't miss out.

The rally is the earliest it can possibly be and sorting all the paperwork, stuffing all the envelopes and doing high finance takes a LOT of time.

Will give regular reminders of this to try to help everyone out.

Woo hoo, forms are now with Ratty. It obviously takes him quite a bit of time to get them into UKCS format THEN get back to us for approval to go ahead before he can put them on the website but plans are now underway for all you eager beavers!

A PLEA....

Neither UKCS or Elvaston's own advance booking forms are on the websites yet.

If you're paying with BACS PLEASE don't just send me an email to say you've paid and are attending. Our systems just don't work like that.

In order to process your application to stay with us we need a fully completed form AND, to make my life easier, a self addressed envelope in order for you to collect your camping passes and wristbands on arrival.

Unless and until all these are numbered and tie-up we can't do anything.

For those of you who have pre-booked previously you may have wondered what the numbers are on your envelope. They are your unique reference number which is noted on your booking form, cheque and envelope to keep everything in order.

REFUNDS

This year our treasurer has said there are to be NO REFUNDS unless the rally is cancelled. All cheques are to be given to her as soon as they reach us so I won't be able to help as I have in other years should a cancellation be necessary.

Hi, UKCS members are entitled to a special advance booking discount which is only available to members and not the general public.

If members would like to come along with friends who are non-members then the non-members MUST use the booking form on the Elvaston Steam Rally's own page and pay the standard rate, not the UKCS members discounted rate.

Anyone who is a non-member who has access to the UKCS booking form will have their application rejected.

The best thing to do for family and friends who would like to join you at Elvaston is to join UKCS then their booking will be problem free.

Me, neither, Barry....especially when a member encloses a few forms, all in their username and provide one envelope for all the passes for everyone in the group THEN get shirty with me when I let them know there will be a supplement to pay for each non-member on arrival!

Yes, folks, we can and do check that people are members and we check if mulitple bookings are being made with one username.

Newbies, please note that the Elvaston camping phone number is, literally just a phone. We cannot access text or voice messages. The number is available 9-5 Monday-Friday.

Email is a good alternative and probably better than phoning should I need to get hold of any information for you.

Quick note for everyone, PLEASE check the envelopes posted to us have ample postage as our P O Box man WON'T be going to collect any underpaid items. Any underpaid envelopes may eventually be returned to you but this will probably be too late for the advanced booking discount.

I put my form entry envelope and cheque in a 9"x4" envelope and it went thru the stupid slot they now measure your mail with and sent it 2nd class, as I knew it would be a long time before you did a pick up.

Good idea for everyone to get their applications to us in plenty of time this year as advance bookings close a week earlier than usual.

Due to the rally being the earliest it can possibly be and circumstances beyond our control any bookings arriving after the Saturday 10th June cannot be processed and will, eventually be returned to you by Royal Mail so please don't miss out.

I know in the past we have tried to squeeze a few late bookers in who are a day or two over but this year we really can't

Hi,

What are the camping facilities like at Elvaston? Just wanted to know as I'd like to come along (if not this year, certainly next) but will have a baby and toddler in tow so could do with some toilet / shower facilities. Just wondered if we were looking at toilet blocks or portaloos?

Hi Craig, the camping is in a farmer's field but we have portaloos and free hot showers. Obviously there are no hook ups but we have waste and fresh water points.

Camping is directly opposite the showground.

Question for the mods.....

Had a chap ring up today who was NOT a UKCS memnber but said he had found the form on the Internet and printed it off. It was clearly a UKCS form he was reading from.

I thought only members had access to the booking forms but maybe I am wrong given every year we have a few bookings clearly from non-members.

Have suggested he join!

Have just looked and it appears anyone can access the UKCS form by searching for it BUT I'm very strict about UKCS usernames and check that people who say they are members actually are.

Seeing my P O Box man on Tuesday night, only 28 advanced bookings so far including both public and UKCS.

Remember there are less than 4 weeks left to get your advanced bookings to us in order to qualify for the UKCS extra booking discount price.

This year we can have NO exceptions to our closing date, once 10th June has passed we won't be able to receive any more applications. They will be put back in the post marked "return to sender" so please post in plenty of time.

A quick plea/reminder, don't send your application recorded or registered mail as there may not be anyone there to sign for it. Our P O Box chap will NOT be going to the local sorting office to collect signed for mail so eventually it will be returned to you and you probably won't be in time to get the advanced booking discount.

Just a little warning, as I've explained previously NO applications can be processed after 10th June so the UKCS application form will be taken down a few days early this year prior to that date in order to avoid disappointment.

There will still be pitches available but the on the day price for all non-booked units will be 50.

Hi Gang, gentle reminder.....the advance booking form will be removed from UKCS a week on Wednesday. TWO WEEKS today advance booking closes. After 10th June no further applications for advanced bookings can be taken.

Due to a situation beyond my control there can be no exceptions to our cut off date this year. If you're local-ish to the P O Box please don't waste your time nipping round with your form as some clever clogs have done in the past. Any late applications in post or person will not be seen by me so cannot be processed in time for collection at the rally meaning you may turn up to find there is no record of you and no pitch for you.

I will try to keep bumping this up until a week on Wednesday in the hope that all interested members who have not yet booked will have ample opportunity to make an advanced booking if required.

P O Box man lately and probably won't see him now until 10th June when we will have our final handover of forms.

My P O Box man has been in touch, only another 30 advanced booking applications in total, UKCS and public campers.

Can I ask those who haven't pre-booked but usually do if they are intending to pre book or see what the weather is like nearer the time and come "on spec" please?

The regulars will know the drill and hopefully we have written eveything out in plain English which should be easy to understand for the newbies.

Sorry but it's no good contacting other members of the rally committee if you've not had an acknowledgement of your booking. Not even our Chairman will know if it's arrived.

Please don't worry that your cheque hasn't been cashed. We do say on the info, "Cheques will not be cashed until a week before the Rally."

Likewise if your tickets haven't arrived then I've got news for you, they won't!!! It does say on the booking info [sorry to shout here]

PLEASE NOTE: YOUR STEAM RALLY ADMISSION WRISTBANDS AND CAMPING PERMITS WILL NOT BE RETURNED IN THE POST, THEY WILL BE AVAILABLE FOR COLLECTION WHEN YOU CHECK IN WITH THE STEWARDS.

Not sure how that isn't clear enough and I really don't want people to be worried and anxious about these issues when they should enjoy looking forward to a great weekend but please help us to help you and wade through all the necessary info before having a panic.

Barry had better NOT use his old envelopes, Geoff, as reference numbers written onto it change year on year. The reference numbers on the envelopes need to tally with the application forms, my lists of attendees plus cheques or BACS payments.

If I am ever audited there is a clear trail of what is where!

Yep!!! Well our visitors said they wanted something different! Camel racing is on Sunday only. The times of this event will be displayed on a board by the main arena.

The dancing diggers will perform two dispays on the Saturday and two on the Sunday, again times will be displayed at the side of the main arena.

So sorry to have to say that two UKCS members are going to be disappointed not to be getting their advanced booking application to us.

My P O Box man has phoned me to say there are two underpaid UKCS applications at the sorting office. He won't be going to pay to collect them.

Penultimate daily update....

TOMORROW, Wednesday 7th June, the advanced booking form will be removed from the site. You then have until Saturday10th June to get your form to us. That's when the final handover will be between the P O Box man and me.

After Saturday NO further applications can be accepted.

I usually try to accomodate the few stragglers we always seem to get but this year am sorry it won't be possible to help any would be late bookers.

We will have plenty of space for non-booked units, the price will be 50 per couple including any accompanying under 16s.

TODAY'S THE DAY!!!!

The advanced booking form will be removed from the site later in order for everyone to get their applications to us by Saturday.

I am seeing my P O Box man on Saturday for the final handover of the year. If it's not in my hot little hand by Saturday then sorry but you have missed out on your UKCS special advanced booking discount for this year.

There should be space available on the day for non booked units. The cost, apart from single people or those with extra adults, will be 50.

One lady, bless her, has been ringing me almost hourly with her updates.

1] I found the form

2] I printed the form

3] I have filled the form in

4] I have written a cheque

5] Everything is enveloped up

6] I'm going to the post office today

7] My envelope is posted first class and the lady in the post office checked it for size and weight

Whew....just awaiting the calls now asking if it's arrived!

Some of you may be aware I've not been quite my usual fabulous cheery self lately, sorry about that. Health wise things are a bit tricky at the mo so today I have had to hand my rally phone over to another committee member, Helen, hopefully until the week of the rally when I can reclaim it.

Helen won't have access to ANY booking info so please don't ask her. I expect her main job will be telling folk [not UKCS, of course,] that advanced booking is now closed but we have space for on-spec units from 2pm on Friday 30th June. The cost will be 50 apart from single people and those with more than 2 adults.

If you do need any further info then please email me and I will do my best to reply although it may take me a couple of days so please bear with me.

Quickie for our previous visitors.....

I can now confirm the camping field entrance is through the gate which is directly opposite the big wide Elvaston Castle main car park entrance.

The main field for campers and Blue Badge Holders is in the first field.

The field for people with generators is back to its "old" position in the field on the right hand side of the main camping field as you look at it with your back to the gate.

If that sounds far too confusing for our newbies please don't worry, Tracy, Alan and our valued stewards will, in the nicest possible way, sort you out.

The old timers will know how carefully and accurately your packages are made up with wristbands, car passes and camping passes [AHEM!!!]

This year 5 year old Flynn has counted all the wristbands into envelopes so I'm not taking any responsibility for them!

We always ask that you check your envelopes carefully before leaving the booking in area....this year please check VERY carefully. If he got it right you can thank Flynn over on our engine!

Think this is the first year ever that not one email has bounced which means I could read every single application correctly and not panic because I had failed to get in touch with people.

Please don't ring me as someone else is helping with that for a couple of weeks. They only have the basic info such as arrival times, no hook-ups for the hairdrier, disabled pitches and so on. The lady who is personning the phone doesn't have access to any booking info.

Me again, sorry to bother everyone but we have a bit of a problem.

We have several BACS payments without any paperwork, no camping application form or addressed envelope for collection. This will obviously make life difficult when you arrive.

If you have paid but not submitted a form not to worry but please email me your details and vehicle reg and I can sort out an envelope for you with your wristbands, car parking permits and camping passes.

Rumours are abounding across the county that the steam rally has moved.

Local radio are regularly putting out the news that the steam rally is staying put. Fine for locals who listen but not so good for those who have heard the rumours and are coming from further afield.

Hi Eunice, the County Show, always a week or fortnight before Elvaston and held on your camping fields, this year is moving to a new site.

Think people are muddling the two events up, adding 2 and 2 and making 5 assuming the steam rally is moving, too.

I do my best to be available 9-5 but, like everyone else on the committee, am an unpaid volunteer raising money for local charities. YES it is and should anything happen before Friday UKCS will be among the first to hear.

Saturday and Sunday look to be good weather, Friday evening may be a little damp.

Can I make my usual plea for folk not to arrive before the advertised time.

We will have young cadets on your field until 1pm and cannot let you onto the field when they will be working. Two years ago there was a nasty incident where a young helper had his foot run over so am sure you can appreciate our safety concerns.

If you do arrive crazily early there is a huge car park at the big Asda Walmart in nearby Spondon where you could wait until opening time. There's a Macdonalds instore where you could have a drink and a sit down.

There's no rush to be first on the field as there will be plenty of pitches for all.

Please remember there can be NO new arrivals after 1pm on the Saturday. Saturday arrivals pay 50 as they have full access to the steam rally on the Saturday during the day, the Saturday night event which is not open to the general public and all day Sunday.

Friday arrivals are most welcome to join us on Friday. The beer tent will be open on Friday night and entertainment is laid on. Some food stalls will be open.

There are random bag seaches in operation and no alcohol may be taken onto the showground.

Sorry, folks, but PLEASE remember the steam rally camping number is only a phone for recieving and making calls.

It has NO answerphone facility even though it seems as if it has and texts cannot be accessed or sent therefore no messages will get to me.

We do state this on our pages but it seems this isn't always understood by everyone.

From now until the end of the rally the phone line will be open extended hours, from 9am to 9pm.

Was GREAT to see so many "old" friends, sadly didn't manage to speak to a single newbie.

Hope everyone had a cracking time and am sitting here wondering if Pumacar ever arrived!

If any of you couldn't make Elvaston then, in two week's time we have Barton under Needwood Steam Rally and Family Festival just down the A38 from Derby where money will be raised for the Midlands Air Ambulance. We welcome campers to the event where, once again, the Nichs will be stewarding. The cost is only 25 for the weekend.

There were 4 altogether, Tracy. It was the chap and one of the ladies whose envies I still have.

Barry, have you not seen the women at war display in the model tent? It's a representation of women's lives during World War 2 BUT they now have a man in their group!

I had woman at war living at our house during the war, even when I was in my 40s I still referred to them as Aunty Rose and Aunty Olive, etc sadly they are now all deceased, wonderful woman all of them.

HUGE thank you to anyone who threw money in the Digger Dance digger buckets as they went round the ring after each performance. 700 was collected and presented to the Air Ambulance after their final performance on Sunday.

Tracy and Alan will be stewarding/helping all over again at Barton Under Needwood Steam Rally and Family Festival on 15th and 16th July just off the A38 near Burton on Trent.

Campers are welcome at a very reasonable 25 for the whole weekend.

Yes thank you. Our Sat Nav took us on a mystery tour to Bakewell, completely the opposite direction to Clumber Park. Never mind, very scenic and we got there in the end! Finally got home to Scarborough about 5pm, so all in all a good day. Thanks once again, and hopefully see you next year

Yes, I'd like to forget it, it did the same thing on the way to Critch we wound up in a builders yard! at least we could turn round, when we got there it was a basic site water and electric laid on, Neil decided it was not up to scratch so moaned that much we came home, we all spent the weekend in a farmers field with cow and sheep**** but because this place didn't have a shower and toilet it was no good.

It was ok, just a basic site almost next door to the tram museum.
The water and electric right next to your van, not very safe for kids or dog if chasing a ball it would run straight down onto a road.
But for a couple of nights would have been ok.

One of the funniest moments of the weekend was when we pulled onto the camping field to deliver the last of the paperwork to the Nichs.

A deputation literally ran out from the stewards' units, Tracy, Alan and Tracey dashed towards us in our motorhome with Tracy's lips moving to say "Who the Bl**** H*** are they? They needn't think they can pull on here!" Then I saw Alan burst out laughing as he realised it was us in our new motorhome rapidly followed by Tracy giggling. They had both seen our new van at previous events. Tracey still stood there with hands on hips prepared to head us off at the pass!!

Not to worry, we are only the organisers!

We did have a pass, an essential vehicle pass valid for any number of people at all gates!!

We could have carted up to 6 people around the site in our new motorhome!
